Email Signatures

In Outlook, you can create one or more personalized signatures for your email messages. Your signature can include text, images, your electronic business card, a logo, or even an image of your handwritten signature. You can set up Outlook so that signatures are automatically added to all outgoing messages or create your signature and add it to messages on a case-by-case basis.

You will have to create/update email signatures in each of the methods that you use to access your Outlook email. Email signatures are stored separately for Outlook applications on Mac, Windows, mobile apps, and Outlook on the web.

Windows Outlook

  1. Select New Email.

  2. Select Signature > Signatures.

  3. Create or edit a new signature.

  4. Choose the default signature(s) for new messages and replies/forwards.

Apple Outlook

  1. Select New Email.

  2. Select Signature > Signatures.

  3. Select + and type a name for the signature.

  4. Under Signature, type your signature and format it the way you like.

  5. Under New messages, select your signature.

  6. Select the red circle in the upper left to close.

  7. Select New Email to see the signature you created.

Web Outlook

From:

  1. On the nav bar, choose Settings  > Options.

  2. Under Options, choose Settings > Mail.

  3. Under Email signature, in the text box, type the signature you want to use. Use the formatting mini toolbar to change the appearance of the signature.

  4. If you want your signature to display at the bottom of all outgoing items, including replies and forwards, select Automatically include my signature on messages I send. If you don’t select this option, you can manually add your signature to any message. For details, see Manually add your signature to a new message.

Mobile Outlook

Instructions for your mobile app may depend on the specific make/model/version of your device.

  1. Open the Outlook mobile app

  2. Open the Settings menu using the gear icon

  3. Under Mail, select Signature

  4. Edit (or you can paste) your signature text here

  5. If you have more than one account you can create different email signatures for each.

Other Applications

Other applications, such as Apple Mail, Windows Mail, or non-Outlook mobile apps may offer ways to customize email signatures. You may be able to find specific instructions for those applications. North Park IT recommends that you use the official Outlook applications.
